Job Description

Odessa, TX client is seeking a professional, organized Estate Manager and Executive Assistant. This position will report directly to the CFO and help to maintain professional and personal schedules and responsibilities for the employer’s daily estate, community, and business operations.
Duties: • Maintain consistent operation of complex property that serves as a business office, a center for community initiatives, and the residence of senior business executives. • Supervise the daily duties and performance of property staff. • Schedule and oversee the maintenance of property and grounds. • Delegate work as appropriate to other members of staff. • Purchase and tracking of property inventory, including consumables and equipment. • Help to maintain the financial records and perform related duties including:            o Checkbook maintenance and reconciliation            o Receive, organize, and make sure all bills are paid            o Payroll processing for the property staff            o Coordinate and communicate with the home office and external accounting team as needed 
• Plan, organize, set up, and prepare for events, clients, and guests of the estate. • Coordinate holiday decorating and other activities to support community and business functions. • Book and arrange travel, transportation, and accommodations as needed for executives. • Assist with community initiatives, business engagements, and special projects onsite and off. • Will be the first point of contact for all correspondence via phone and email. • Will help to draft and proofread communications on behalf of the employer. • Type, compile, and prepare business and property reports. • Data management and filing with confidentiality as first priority. • Research for special projects. • Help maintain business accounts, monthly reconciliations, and financial reports. • Be available for any other duties as requested by the employer. 
Requirements: • College degree preferred but not mandatory. • Must understand the importance of confidentiality, discretion, and trustworthiness. • Must be able to be flexible and handle changes in schedule or duties easily. • Professional, polite attitude • Accuracy and attention to details • Must have exceptional verbal and written communication skills • Must be able to multitask and prioritize daily workload. • Ability to be proactive • Great sense of humor

He enjoys playing with his two Sphynx Cats, Cinnamon and Gnocchi and his dogs, Clover and Mulligan.
