Invoicing Specialist
Position Summary
The Invoicing Specialist is responsible for preparing, processing, and tracking customer invoices in QuickBooks while ensuring billing accuracy and timely payment. This position works closely with field operations, project managers, and customers to verify work tickets, resolve billing discrepancies, and maintain accurate financial records.
Essential Duties & Responsibilities
  • Create and process customer invoices using QuickBooks. 
  • Review field tickets, work orders, and supporting documentation to ensure billing accuracy. 
  • Verify labor hours, equipment, materials, and project details prior to invoicing. 
  • Submit invoices through customer billing portals or by email, as required. 
  • Monitor invoice status and assist with collections on past-due accounts. 
  • Research and resolve customer billing questions and invoice discrepancies. 
  • Maintain organized electronic and paper billing records. 
  • Reconcile invoicing reports with accounting records. 
  • Generate weekly and monthly billing reports for management. 
  • Assist with accounts receivable and other accounting functions as needed. 
  • Maintain confidentiality of company and customer financial information. 
  • Perform other administrative duties as assigned. 
Qualifications
  • High school diploma or GED required. 
  • 2+ years of invoicing, billing, or accounting experience preferred. 
  • Experience using QuickBooks is required. 
  • Proficient with Microsoft Office, particularly Excel and Outlook. 
  • Strong attention to detail and accuracy. 
  • Excellent organizational and time management skills. 
  • Ability to prioritize multiple deadlines in a fast-paced environment. 
  • Strong written and verbal communication skills. 
  • Experience in the oilfield service, industrial, or construction industry is a plus. 
Knowledge, Skills & Abilities
  • Understanding of invoicing and accounts receivable processes. 
  • Ability to interpret work tickets and customer purchase orders. 
  • Strong problem-solving and analytical skills. 
  • Professional customer service skills. 
  • Ability to work independently while collaborating with operations and accounting teams. 
This is a full-time position requiring reliability, professionalism, and a commitment to producing accurate invoices that support timely customer payment and efficient business operations.

He also loves working in the yard and watching the plants he’s groomed grow, bloom and become something beautiful. He enjoys playing with his two Sphynx Cats, Cinnamon and Gnocchi and his dogs, Clover and Mulligan.
